Reports

Always filter by the same date range and locations before comparing reports. Sales, collections, dues, profit and cash represent different measurements.

Understand the workflow

Choose a report by the question you want answered. Stock report answers quantity at an outlet; sales reports answer billed activity; payment reports answer collections; profit/loss considers costs; the register concerns a cashier’s drawer. Always align date, outlet and status filters before comparing numbers. Exports reflect the selected scope, not necessarily the entire business.

PROCEDURE 01

Choose the right report

Where to go Reports

Before you start
Manager/report permission may be required.

Steps

  1. Use Purchase & Sale for trading totals, Profit / Loss for operational profitability, and Tax Report for configured tax figures.
  2. Use Stock Report, Lot Report, Stock Expiry and Stock Adjustment Report for inventory. Use Product Purchase/Sell and Purchase & Sale Product for item movements.
  3. Use Sell Payment, Purchase Payment, Payment by Age and Supplier & Customer reports for collections and balances.
  4. Use Expense Report and Register Report for spending/shifts. Use Sales Representative and Customer Groups reports where applicable.
  5. Use Items Report for the customized item-focused view. Set its offered date/location/product filters and check displayed quantities/totals before exporting.

Check the result
You are comparing records that answer the same business question.

PROCEDURE 02

Finish the daily review

Where to go Home → Reports / Activity Log

Before you start
Reconcile transactions before closing the business day.

Steps

  1. Confirm all device offline queues are synchronized or explicitly being reviewed. Match confirmed bills to their server invoice numbers.
  2. Review sales/returns, customer dues, expenses and register counts for the day/location.
  3. Check low-stock/expiry alerts and supplier payments. Investigate differences using stock history and contact ledgers.
  4. Export required reports using the correct filters. Use Activity Log where permitted to inspect recorded changes.

Check the result
The owner can explain the day’s stock and money movements.

PROCEDURE 03

Compare sales, payments and returns

Where to go Reports → Sales / payments / relevant return report

Before you start
Use matching date/outlet scope and understand whether the report uses invoice or payment date.

Steps

  1. Set the same outlet and intended period on the reports you are comparing.
  2. Read invoiced sales, returns and net sales separately. Identify invoices still due or partially paid.
  3. Review collections by method and date. A payment today for an older invoice can appear in today’s collections without being today’s new sale.
  4. Open underlying invoices/payments when totals differ. Include returns/refunds and rounding rather than forcing a summary to match.
  5. Export the checked scope for review and retain the filter/date description with it.

Check the result
Differences between trading activity and money collected can be explained.

PROCEDURE 04

Run an item and stock review for replenishment

Where to go Reports → Items report / Stock report

Before you start
Products must have correct units, location and recorded stock movements.

Steps

  1. Filter item sales to the intended outlet and period. Compare quantities by product/variation rather than only category totals.
  2. Open Stock report for the same outlet and compare remaining quantity and low-stock thresholds.
  3. Review batches/expiry when ordering perishable goods; high stock with short expiry may not justify replenishment.
  4. Create the appropriate supplier order/purchase or transfer after the manager reviews demand.
  5. Check later receipts/transfers in the stock report so duplicate replenishment is avoided.

Check the result
Purchasing decisions use sales demand and actual outlet stock together.

IN PRACTICE

A practical example

A 1,000 credit invoice today can appear in sales with no cash collected. A 500 collection on last month’s invoice can appear in today’s payment report without adding 500 to today’s new sales.

Common questions

Why does dashboard total differ from a report?

Align period/location/status and determine whether the figure is invoiced, net of returns, or collected money.

Is report export a backup?

An export is a selected report, not the complete server database or unsynchronized device records.
