Understand the workflow

HRM concerns employees, attendance, leave and payroll. Essentials includes to-dos, reminders, shared notes/knowledge and other enabled work tools. Attendance records time; leave approval records permission to be absent; payroll records calculated pay and its payment. Clocking in does not prove payroll was paid. Use restricted HR access for staff records and review generated payroll before finalizing it.

PROCEDURE 01

Clock in, review attendance and request leave

Where to go HRM → Attendance / Leaves / Holidays

Before you start
Use your own account and the shop’s correct timezone.

Steps

  1. Use Clock In at the start of your work and the corresponding clock-out control when finishing. Follow your shop’s attendance policy.
  2. Open Attendance and filter the date/user as permitted. Ask a manager to correct missing or incorrect entries through the approved workflow.
  3. For leave, choose Add/request leave, select type and dates and enter a reason. Submit and check its approval status.
  4. Review Holidays before requesting leave or interpreting an absent day. Managers review requests and approve/reject them with a reason where supported.

Check the result
Attendance and leave records belong to the right staff member and dates.

PROCEDURE 02

Manage staff structure, payroll and sales targets

Where to go HRM → relevant submenu

Before you start
Manager/HR permissions and configuration are required.

Steps

  1. Set departments, designations, leave types, shifts and holidays where these controls are offered.
  2. Review staff salary/pay components and attendance before generating payroll for the intended period.
  3. Review generated payroll amounts and status before approving or recording payment. Keep the payroll record separate from actual bank payment.
  4. Set sales targets where offered and inspect target reports/dashboard for the same period.

Check the result
Staff administration follows the configured period and approvals.

PROCEDURE 03

Set up staff organisation and attendance rules

Where to go HRM → Departments / Designations / Shifts / Settings

Before you start
Use administrator/HR access and the approved working-time policy.

Steps

  1. Create departments and designations through the offered menus; assign the appropriate details on the employee/user record.
  2. Define work shifts and permitted attendance approach. Check location/timezone and attendance settings.
  3. Assign employees to the intended shift where offered, then have them clock in/out using their own account.
  4. Review a sample attendance day for correct timestamps and duration before relying on payroll calculation.
  5. Check staff view access so ordinary cashiers do not gain unnecessary HR/payroll permissions.

Check the result
Attendance records follow the intended staff and work-time setup.

PROCEDURE 04

Review and correct attendance

Where to go HRM → Attendance

Before you start
Corrections require the authorised HR workflow and actual time evidence.

Steps

  1. Filter employee and date range. Compare clock-in, clock-out and shift details with the real attendance.
  2. For a missing/wrong timestamp, use permitted Add/Edit attendance and enter the actual date/time with a note where offered.
  3. Check overnight shifts and forgotten clock-outs before interpreting very long durations.
  4. Save and review the corrected duration; avoid adding overlapping duplicate rows.
  5. Use the checked attendance period when reviewing payroll, rather than assuming every generated hour is correct.

Check the result
Attendance accurately describes the reviewed work period.

PROCEDURE 05

Request, approve and review leave

Where to go HRM → Leave / Leave types

Before you start
Configure leave types/limits and role-based approval first.

Steps

  1. Choose Add leave, select the employee/type and enter start/end dates and a useful reason.
  2. Save the request and inspect its status. A submitted request is not necessarily approved absence.
  3. The authorised reviewer checks entitlement/schedule and uses the approval/rejection action offered.
  4. Reopen the leave record to verify the decision and period. Check attendance/payroll impact under the actual configured policy.
  5. For a corrected date/type, use the authorised edit/review flow so staff know which period is approved.
Request, approve and review leave — look for the controls described in the steps
SCREEN GUIDE Request, approve and review leave — look for the controls described in the steps. Select the screenshot to enlarge; optional fields may differ in your business.

Check the result
The absence request and decision remain distinguishable.

PROCEDURE 06

Prepare payroll and record its payment

Where to go HRM → Payroll / allowance and deduction controls

Before you start
Approve pay rates, attendance, leave and payroll period before calculation.

Steps

  1. Choose the intended employee group and payroll period. Review the group name/status and each employee’s duration unit/rate.
  2. Check calculated hours/days/months against approved attendance and leave. Add only approved allowances/deductions with the correct fixed/percentage meaning.
  3. Review each employee total and notes. Save a draft/prepared payroll when the workflow permits review before finalization.
  4. Finalise through authorised HR controls only after approval; then record the actual payment through its payment action.
  5. Inspect payroll/payment reports and provide the appropriate payslip. A saved payroll is not evidence the employee received money.

Check the result
Approved pay calculation and actual payment are both recorded.

IN PRACTICE

A practical example

A staff member requests leave Monday–Tuesday. The manager approves it. Payroll later uses the shop’s leave and attendance policy to determine payable time; a leave approval does not itself create a salary payment.

Common questions

Does Clock In open a POS cash register?

No. Staff attendance and cashier register opening are different actions.

Why does a saved payroll show unpaid?

Pay calculation/finalization and actual payment are separate steps.

Should I put project work in To Do or Project?

Use To Do for a standalone staff action; Project tasks belong to a project’s deliverables, time and billing workflow.
